b. Verification Information (Honesty Badge) If you apply for verification, we may collect:

• Company email address

• LinkedIn profile link

• Business name card or equivalent proof

• Employer or professional details

c. Automatically Collected Data

• Device information (device type, operating system, identifiers)

• IP address and approximate location

• Usage data (interactions, matches, engagement patterns)

• Log files and diagnostic data

d. Payment Information

• Subscription status and transaction records

• (Payment processing is handled by third-party providers. We do not store full payment card details.)

e. Third-Party Platform Linkage & Social Media Integration

• When you choose to link, connect, or log into your SoulMap® account using third-party services (such as Facebook, Google, Apple, or other social platforms), or when you participate in interactive social features on our platform, we may collect and process specific personal data transmitted by those third parties. This may include, but is not limited to, your unique third-party user ID, public profile information, profile picture, email address, friend lists, and cross-platform "likes" or engagement metrics, subject to your privacy settings on those external platforms.

f. Fine Location, Physical Events, and Environmental Monitoring

• For the purposes of facilitating location-based matching features, real-time proximity matchmaking, and managing safety at offline events, mixers, or physical gatherings hosted or partnered with us, we may collect precise geographic data (fine GPS coordinates) from your mobile device. Additionally, if you attend physical events organized or partnered by SoulMap®, your image or likeness may be captured via Closed-Circuit Television (CCTV) systems or event photography deployed for security, asset protection, crowd management, and safety enforcement.

2. How We Use Your Information

We use your personal data to:

• Operate and deliver the SoulMap® platform

• Generate compatibility insights, recommendations, and matches

• Personalize your experience and content

• Verify user identity under the Honesty Badge system

• Detect, prevent, and address fraud, abuse, or misleading behavior

• Improve our services, algorithms, and user safety

• Communicate with you regarding updates, support, or relevant information

We process personal data based on user consent, contractual necessity, and our legitimate interests in operating and improving our services. We do not sell your personal data.

3. Profiling, Matching & Automated Processing

SoulMap® uses data-driven systems to enhance compatibility matching and recommendations. This may include:

• Analysis of questionnaire responses and user-provided information

• Behavioral insights based on interactions and usage patterns

• Inference of preferences and compatibility indicators

• Automated ranking and recommendation of profiles

Such processing is essential to the core functionality of SoulMap® and may not be disabled without affecting service availability.

Important: These processes are designed to improve user experience but do not guarantee compatibility, user intent, identity, or relationship outcomes.

4. Honesty Badge Verification

By submitting verification materials, you:

• Provide explicit consent for the collection and review of your professional information

• Acknowledge that such information is used solely for verification purposes

Verification materials (such as name cards or LinkedIn profiles):

• Will not be publicly displayed unless explicitly stated

• Will not be used for marketing purposes

• Will be accessible only to authorized personnel or systems

5. Cookies and Tracking Technologies

We use cookies and similar technologies to:

• Enable core platform functionality

• Maintain session integrity

7. Data Storage and Cross-Border Transfers

Your data is primarily stored in secure cloud infrastructure located in Hong Kong. Certain data processing activities may involve cross-border access or international service providers. Where such transfers occur, we implement reasonable safeguards to protect your personal data. By using SoulMap®, you acknowledge and consent to such data processing.

8. Data Retention

We retain personal data only for as long as necessary to:

• Provide our services

• Fulfill the purposes described in this policy

• Comply with legal and regulatory obligations

a. Strict Account Inactivity and Expiration Windows

• Notwithstanding anything to the contrary, to guarantee data minimization and protect your privacy, SoulMap® enforces a strict retention schedule for inactive accounts. If your account remains completely inactive, dormant, or unutilized for a continuous period of three (3) years from the date of your last recorded login or platform activity, all of your personally identifiable data, profile contents, verification records, and communication histories will be permanently scrubbed, deleted, or irreversibly anonymized from our live servers and backup systems, unless a longer retention period is explicitly mandated by statutory legal obligations or active fraud investigations.

Upon account deletion:

• Personal data will be deleted or anonymized within a reasonable timeframe

• Certain data may be retained where required by law or for legitimate business purposes (including fraud prevention and dispute resolution)

9. Your Rights

Subject to applicable law, including the PDPO, you may:

• Request access to your personal data

• Request correction of inaccurate or incomplete data

• Request deletion of your personal data (subject to legal limitations)

• Withdraw consent where applicable

a. Statutory Processing Fees for Data Access Requests

• In strict accordance with the provisions of the Personal Data (Privacy) Ordinance (Cap. 486) of Hong Kong, SoulMap™ reserves the statutory right to charge a reasonable, administrative cost-recovery fee for the processing, duplication, and manual extraction involved in fulfilling any formal Data Access Request (DAR) or comprehensive data export request submitted by a user.

b. The Direct Marketing Opt-Out Promise ("STOP" Mechanism)

• We respect your attention and privacy choices. SoulMap® guarantees a frictionless, transparent, and immediate mechanism to opt-out of direct marketing communications, automated notification pushes, and promotional updates. You may exercise your right to opt-out at any time entirely free of charge. Every marketing email, notification setting, or promotional broadcast sent by us will contain a clear, functional, and automated "STOP" or "Unsubscribe" mechanism. Once triggered, your profile will be immediately excluded from marketing lists without requiring you to terminate or delete your core matchmaking account.

• You may opt out of receiving marketing communications from us at any time after registration by emailing us at connect@soulmaphk.net with the subject line “Marketing Opt-Out”. As SoulMap® registration is completed by mobile number and OTP verification, please include the mobile number registered with your SoulMap® account in your email so that we can identify your account and process your request.

• After receiving your request, we will take reasonable steps to update your marketing preferences and stop sending you marketing communications, except for service-related, transactional, account, security, or legal notices that are necessary for the operation of your account or our services.

10. Security

We implement reasonable administrative, technical, and organizational measures to safeguard your personal data. However, no system can guarantee absolute security, and you acknowledge and accept this inherent risk.

11. User Interaction Disclaimer

SoulMap® facilitates introductions and interactions between users but does not control or guarantee user behavior. SoulMap® does not undertake any obligation to monitor user conduct, communications, or interactions. Users are solely responsible for their interactions, both online and offline.

12. Children

SoulMap® is intended only for individuals aged 18 or above. We do not knowingly collect personal data from minors.

13. International Users

If you access SoulMap™ from outside Hong Kong, you acknowledge that your data may be processed in Hong Kong and other jurisdictions.

14. Changes to This Policy

We may update this Privacy Policy from time to time. Continued use of the platform constitutes acceptance of the updated policy.
